Position Overview
This role is not for routine bookkeeping, but for accounting system setup, review, and advisory support. We are seeking an experienced accountant with Zoho Books expertise to review, refine, and finalize the accounting system for a small S-corporation.
Our business has long-standing financial records, but Zoho Books was implemented beginning January 1, 2026, when our accounting data was imported into the system. The goal of this project is to ensure the accounting structure is correct and sustainable so that our internal admin can maintain the books going forward.
This role is primarily project-based, focused on reviewing the current setup, implementing best practices, and establishing clear procedures. After the initial project, we expect the accountant to be available for occasional consulting or periodic review as needed.
Our internal admin will handle routine bookkeeping tasks such as categorization and reconciliation once the system is properly structured. Accounting records should be organized so they are ready for year-end tax preparation by a U.S.-based CPA or tax preparer.
Project Scope
The selected accountant will:
  • Review the existing Zoho Books setup and chart of accounts
  • Ensure the accounting structure is appropriate for a U.S. S-corporation
  • Review and recommend improvements to the chart of accounts and account classifications
  • Configure and verify proper tracking for credit cards, loans, and other liabilities
  • Review and configure the handling of payment processor deposits (Square)
  • Ensure correct accounting for:
    • deposits where payment processing fees are deducted
    • loan repayments included within deposits
    • loan proceeds and liability tracking
  • Review handling of owner distributions, contributions, and other equity transactions, including personal expenditures that are recorded as equity and excluded from the P&L
  • Identify and correct structural or accounting issues within the current Zoho setup
  • Create simple written procedures so our internal admin can maintain the books properly
  • Train our internal admin on maintaining the accounting system going forward
  • Be available for occasional consultation or review after the project is complete

Requirements

  • Proven experience as an accountant or accounting consultant for small businesses
  • Strong working knowledge of Zoho Books
  • Solid understanding of U.S. S-corporation accounting practices
  • Experience working with payment processors (preferably Square)
  • Experience handling:
    • credit card accounting and reconciliation
    • loan accounting and liability tracking
    • deposits with deducted payment processing fees
  • Ability to review an existing accounting system and recommend structural improvements
  • Strong attention to detail and accuracy
  • Ability to clearly document procedures and train non-accountants
Nice to Have
  • Experience working with retail and wholesale businesses with multiple revenue streams and sales channels
  • Experience supporting internal bookkeepers or virtual assistants
  • Familiarity with Square integrations and payment processor workflows
